Settle the purpose and the headcount first, turn the headcount into suites, then build the days around meeting space and meals. Here is how that works on a beachfront estate in Puerto Aventuras that your group has to itself.
Updated 8 min read

Corporate retreat planning goes faster when you make five decisions in order: what the retreat is for, how many people come and who shares a room, where the sessions happen, who feeds everyone, and what the whole trip costs once flights are in. Riviera Maya Haciendas hosts company groups at four beachfront haciendas that sit side by side in Puerto Aventuras, about 1 hour from Cancun airport, or about 1 hour 15 from Tulum’s, so the numbers below are real suite counts and real meeting rooms. The full inclusions list and the proposal form live on our page for corporate retreats in Puerto Aventuras.
For a team based in the US or Canada, the first reason is access. Cancun International handled 29.47 million passengers in 2025, second in Mexico only to Mexico City (Mexico News Daily, April 2026), and that traffic is why it is the practical airport for a team flying in from several cities. From the terminal, Puerto Aventuras is about 1 hour by road, or about 1 hour 15 from Tulum’s airport. The concierge can arrange airport transfers, which matters more than it sounds when twenty people land on six different flights.
Two smaller details help with the planning. Quintana Roo keeps Eastern Standard Time all year, with no daylight saving, so it matches New York in winter and Chicago in summer, and a morning call with headquarters lands at a sane hour. US citizens need a passport valid at the time of entry (see the State Department’s Mexico page). Ask everyone to check their expiry date the week the invitation goes out.
Season matters too. The dry season runs from November through April, and the busiest weeks run from mid-December through Easter, when the most requested dates go first. Our month-by-month booking guide covers what each part of the year looks like here.
Corporate retreat planning starts with one sentence about what the team should leave with, written before anyone looks at a venue. A leadership group finalizing next year’s plan needs long working mornings, a boardroom table and little programmed fun. A remote team meeting in person for the first time wants short sessions, shared meals and free afternoons where people talk to each other. An incentive trip for a sales team barely needs a meeting room.
That sentence decides how many hours go to work and how many stay free, and from there you know what room layout you need and which house has it. If the people approving the retreat cannot agree on the sentence, the agenda will sprawl to fit everyone’s version of it.
Every booking at Riviera Maya Haciendas starts at four suites, so count beds before you count people. Each suite has a private bathroom, most suites have twin beds that join into a king on request, and suites are booked in single or double occupancy. A common split gives senior people a suite each and puts everyone else two to a suite. Whatever you choose, settle it before you ask for a quote, because it can nearly double the suite count.
| Hacienda | Suites | Minimum stay | Where sessions happen |
|---|---|---|---|
| Jaguar | up to 12 | 4 nights | Games room with a large screen: a room for up to 80, theatre-style |
| Mágica | up to 14 | 3 nights | Terraces, courtyards, indoor lounges |
| Corazón | up to 10 | 3 nights | Courtyard-centered layout suited to smaller sessions |
| Del Mar | up to 15 | 3 nights | Games room with a large screen |
| All four | 51 (up to 126 guests) |
Every hacienda is rented privately, so a group taking one house has it to itself. When you book more than one, the haciendas you get sit next to each other on the same beach, with no other group in between. You can compare the four haciendas side by side before you send numbers.
Watch the minimum stays. Jaguar asks for four nights and the other three houses for three, so a three-night retreat that wants Jaguar’s meeting room either adds a night or holds its plenary in Del Mar’s games room.
Fifty people sharing two to a suite need 25 suites, and two neighboring houses can hold that: from south to north the haciendas run Jaguar, Mágica, Corazón and Del Mar, so Jaguar and Mágica together have 26 suites and Corazón and Del Mar have 25. The same fifty in single rooms need 50 suites, which is nearly the whole estate. Mixed plans land in between. Ten leaders in singles and forty people sharing come to 30 suites, more than any two houses hold, so that group books three.
For the plenary, Jaguar’s games room seats up to 80 theatre-style, so fifty chairs fit with room to spare. Breakouts go to the terraces and courtyards a few steps away. Moving between houses takes a couple of minutes on foot, along the sand, the street or the pool terraces, so a group split across three haciendas still meets and eats together without a shuttle. One corporate client who brought 60 guests for four nights described the estate as a collection of houses all managed by the same team.
Once the count passes what three houses hold (36 or 39 suites, depending on which end of the beach you start from), the answer is all four. Together they hold 51 suites and sleep up to 126 guests, enough for a team of 100 sharing rooms, and you can book the whole Four-Hacienda Estate as one private property.
A working day at the haciendas usually starts with breakfast on the terrace at 8:00, then the morning session from 9:30, a group lunch at 1:00 cooked in the hacienda kitchen, the afternoon open from 3:00 for the beach or a quiet debrief, and dinner at 7:30. Put the heavy thinking in the morning. By mid-afternoon in the Caribbean, most people’s attention has already gone to the water, and an agenda that ignores it won’t get much done.
Over three nights, a shape that holds up is a light arrival day with one shared dinner, a full working second day, and a third day with a morning session for decisions followed by the closing dinner, with departures the next morning. A four-night stay, which Jaguar requires anyway, gives you room for a second working day or a full day out on the water.
Wifi is included across the property. AV beyond the built-in screens (a projector for a terrace session, microphones for a panel, a second display) is arranged through your concierge and quoted in advance, so list it in your first email and it goes into the quote. The concierge also sets the session space the night before, which spares you the 9:00 scramble with cables.
Each hacienda has its own chef and butler/bartender service, part of a team of 75 people on staff, and the chef cooks only for that house’s guests. Menus are planned around your group, with dietary restrictions confirmed before arrival, so the attendee survey is worth sending early. When the group spans two or three haciendas, meals can be served in each house or brought together at larger shared tables. Our suggestion is breakfast in each house and the bigger meals together.
Food is a separate line from the rooms. It comes as a fixed-price food and beverage package, with or without alcohol, quoted alongside your proposal, so the final invoice matches what you approved. If finance asks whether the stay is all-inclusive, the accurate answer is no: rooms and food are quoted separately, and drinks depend on the package you choose. Housekeeping twice a day comes with every hacienda.
The corporate retreat ideas that work are the ones that match the sentence you wrote at the start. A leadership team tends to get the most from guided tastings on the property and a chef-led dinner set on the terrace or the beach, where the conversation from the afternoon session can keep going.
Teams meeting in person after months on video calls need shared, low-stakes time. Beach team building on the sand in front of the haciendas works, and a salsa class for the whole group puts the quiet engineers and the loud sales leads on the same floor for an hour.
Incentive and reward trips lean on time out on the water. The concierge can arrange catamaran outings, cenote tours and water sports, and fishing and diving trips leave from the Puerto Aventuras marina, about five minutes away on foot. These experiences are optional and quoted on top of the stay.
Schedule one shared experience a day at most. The free afternoon is where a lot of the real conversations happen, and a retreat that books every hour loses it.
Build the budget in lines, because that is how the quote comes back. Rates depend on the dates, the season and the configuration, so a per-night figure from a website rarely matches what your group ends up paying. The lines to plan for:
Ask for the proposal with property and food as separate lines, so finance can compare it with a resort quote line by line. Give sales a budget range in your first message as well. It lets them suggest the haciendas and dates that fit it, instead of pricing a configuration you would cut later.
About 1 hour by road, or about 1 hour 15 from Tulum’s airport. Riviera Maya Haciendas’ four haciendas are in Puerto Aventuras, a gated marina community on the Riviera Maya, and the concierge can arrange airport transfers for your group.
You can. A booking starts at four suites in one hacienda and can grow to a full hacienda or several. Haciendas booked together sit next to each other on the same beach.
Yes. Courtyards, terraces and indoor lounges are set up for your sessions, and wifi is included. AV equipment is coordinated and quoted in advance. Hacienda Jaguar and Hacienda del Mar each have a games room that becomes a meeting room with a large screen.
Meals come as a fixed-price food and beverage package, with or without alcohol, quoted with your proposal and priced separately from the haciendas.
It is when your group wants to be the only group on the property: the staff, the pool and the beach access are yours for the stay, and meals run on your schedule. A resort fits better when you need a ballroom for several hundred people or want attendees choosing among many restaurants.
Yes. Proposals are available in English, Spanish and French, and asking for one carries no commitment.
Booking runs in two steps. The sales team first sets up the reservation: availability, rates, how many suites per night, how many guests per suite, and the reservation and payment terms. Once your dates are confirmed, your concierge takes over and builds the agenda, meals, meeting setup and experiences around them. Popular dates and the December to April high season fill first, so larger groups gain the most from asking early.
Your first message gets a sharper answer when it includes:
